Vacation Care in Sydney — Providers, Costs & CCS Guide

Vacation care is the practical backbone of school holidays for every working parent in Sydney. Two weeks of holidays, four times a year — that's eight weeks where your children need full-day supervision while you work. At Sydney's average rate of $90-$139 per day before subsidy, the cost adds up fast. But here's what many families don't realise: the Child Care Subsidy can reduce your daily cost to as little as $10.

Sydney has 14-plus vacation care providers ranging from free council programs to premium specialist camps. The cheapest option in the city is City of Sydney's Redfern and Surry Hills programs — genuinely free (access criteria apply). Their other centres at Pyrmont, Ultimo, and Woolloomooloo charge $67 per day including all excursions and activities. Gowrie NSW charges $65 per day plus excursion fees. At the other end, specialist STEM camps and sports academies charge $110-$153 per day.

The game-changer for most families is the Child Care Subsidy. Families earning under $85,279 receive 90 per cent subsidy — meaning a $100 per day vacation care place costs just $10 out of pocket. Even families earning $150,000 receive approximately 75 per cent, reducing $100 to $25 per day. And from January 2026, the new 3-Day Guarantee means every eligible family gets at least 72 hours of subsidised care per fortnight regardless of their work hours.

The biggest mistake parents make is booking too late. Most providers open bookings during Week 6 of the current school term — roughly 3-4 weeks before holidays start. Popular programs and excursion days fill fast, especially YMCA and council programs. Set a calendar reminder for Week 6, have your CCS set up in advance, and book the morning bookings open.

This guide covers every major provider in Sydney with real prices, explains how CCS works with vacation care specifically, and gives you the practical booking and packing tips that save time and money.

1. Vacation Care Providers Compared — Cheapest to Premium

Here's every major vacation care provider operating in Sydney, ranked from cheapest to most expensive.

Free and council-run programs: City of Sydney operates six centres. Redfern and Surry Hills programs are free (access criteria apply — priority given to local residents and families experiencing hardship). KGV in The Rocks, Pyrmont, Ultimo, and Woolloomooloo charge $67 per day including all excursions and activities — the best value in Sydney for a paid program. City of Sydney centres operate 8am-6pm (Redfern 9:30am-5:30pm, Woolloomooloo 10am-6pm).

Budget providers ($65-$90 per day): Gowrie NSW operates from North Sydney, Drummoyne, Blacktown South, Erskineville, and Parklea at $65 per day plus excursion fees — booking via the Xap Smile App with sessions paid one week in advance. Big Childcare has centres in Lansvale, Glenfield, and Macquarie Fields at approximately $82 per day. OSHClub (rebranded as Holiday HQ) charges $89 per day across multiple school sites.

Mid-range providers ($90-$120 per day): YMCA NSW is the largest provider with 30-plus vacation care sites across Sydney, estimated at $85-$110 per day. Activities include museum visits, bowling, laser tag, STEAM days, and themed adventure days. Camp Australia operates from 700-plus school sites nationally with Sydney rates of $95-$120 per day depending on school location. TeamKids runs at multiple school sites at approximately $90-$120 per day with some locations charging a $50 non-refundable enrolment fee.

Premium providers ($110-$153 per day): Extend markets itself as Australia's premium OSHC provider at approximately $95-$125 per day. WAYS in the Waverley area charges $115 per day. Inner West Council programs average $153 per day in the Inner West area. Specialist camps like Saltwater School (outdoor adventure) charge $110 per day.

Wildcard: Inspire Program Australia operates from 10 Sydney locations including North Willoughby, Seven Hills, Kellyville, and Lindfield. Their CCS-eligible program includes excursions to Sydney Zoo, Luna Park, and Raging Waters at no additional cost — genuinely unique value if those excursions align with your child's interests.

2. CCS Calculator — What You'll Actually Pay

The Child Care Subsidy makes vacation care dramatically more affordable. Here's what families at different income levels actually pay out of pocket.

Based on a $100 per day vacation care fee (a typical mid-range provider): A family earning $80,000 receives 90 per cent CCS, paying just $10 per day. At $100,000 income, 87 per cent CCS means $13 per day out of pocket. At $120,000, it's 83 per cent or $17 per day. At $150,000, 75 per cent means $25 per day. At $200,000, 65 per cent leaves $35 per day. At $250,000, 55 per cent means $45 per day. At $350,000, 35 per cent leaves $65 per day.

Important caveat: CCS is capped at $12.81 per hour for school-age care (2025-26 financial year). For a 10-hour vacation care day, the maximum CCS contribution is $128.10. If your provider charges more than $128.10 per day, you pay the difference above the cap plus your income-based gap. This mainly affects families using premium providers ($130-plus per day) or Inner West area providers where the average is $153.

Families with multiple children aged 5 or under can access higher CCS rates — up to 95 per cent for the second and subsequent children if family income is under $143,273. This higher rate doesn't apply to school-age vacation care but may affect your overall CCS calculation.

The 3-Day Guarantee from January 2026 ensures every CCS-eligible family gets 72 hours of subsidised care per fortnight regardless of work hours. This is significant for casual workers, freelancers, and parents between jobs — you no longer need to meet activity test hours to access subsidised vacation care for the first 3 days per week.

3. Booking Strategy — How to Get the Spots You Want

Vacation care booking is competitive. Here's how to make sure you don't miss out.

Timeline: Most providers open bookings during Week 6 of the current school term, roughly 3-4 weeks before holidays begin. Inner West Council opens at 9am Monday of Week 8. YMCA and Camp Australia typically open in Week 6. City of Sydney bookings open on specific dates published on their website each term.

Preparation: Before bookings open, complete all enrolment paperwork, set up your direct debit or credit card payment, and ensure your CCS claim is active and linked to the provider. Some services cancel bookings if payment isn't confirmed within a set timeframe. Have backup providers identified in case your first choice is full.

What fills first: Excursion days (movies, bowling, theme parks, water parks) are always the first to fill. Friday spots and single-day casual bookings fill before multi-day blocks. The first and last weeks of summer holidays (Christmas-January) are most competitive due to reduced provider availability over the Christmas-New Year period.

Cancellation reality: Policies vary significantly. Camp Australia requires 7 days notice to avoid charges but waives fees for illness with a medical certificate within 28 days. TeamKids charges the full fee without a medical certificate within 7 days. Extend generally doesn't refund for cancellations. Always read the cancellation policy before booking. Your 42 CCS allowable absence days per year can cover sick days without documentation.

First-time tip: If you're new to a provider, register and complete all paperwork as early as possible — some providers require lead time to process enrolments before you can book sessions. Don't leave registration until the day bookings open.

The game-changer most families don't realise: the Child Care Subsidy can reduce vacation care from $100 per day to as little as $10. And from January 2026, every eligible family gets 72 subsidised hours per fortnight regardless of work hours.
